There are a number of conference rooms available for anyone within the Harvard community. Some are managed by the Department of Neurobiology, and others are managed centrally by HMS.

There are two different ways you can book a room:

1. If you are interested in booking a specific room: select the desired room from the list below to open the room calendar and reserve the room. If the room is available for your preferred time, login to Calcium calendar and then click on the date to open the scheduling form.

2. If you are searching for any available room at a specific date/time: click on any calendar below.  click "options" at the bottom of the page. In the popup window that opens, click on the "Open Time Search" link,  then select the date and time, calendar group (Neuro_Rooms) and click the "Search" button.

In order to make your reservation valid, it is necessary to enter your name and email/or phone number in the calendar "Popup text" field, otherwise the administrator reserves the right to delete your entry without notice.

If food will be provided at the meeting, please notify Custodial Services for additional trash receptacles, or cleaning requests, by sending an email to Facilities at facilitiescallcenter@hms.harvard.edu.

Also, please remember to clean up and return furniture to its original position after your meeting!

How to reserve rooms/ calendar etiquette

Guidelines:

  • Select the room calendar that you would like to view from the list below. You will be prompted to enter the login credentials in the bottom right hand corner. The credentials were provided in the Neuro Coordinator email (contact neuro_coordinator@hms.harvard.edu if you need assistance).
  • Enter the name of your event as well as your name and/or contact information in the “Enter text for a new event:” space. Your reservation is not considered final without this information.
  • Please take care not to accidentally cancel or move anyone else’s meeting.
  • Please be sure to add “buffer” as needed (ie, extra time before or after a meeting to set up or clean up).
  • If you decide to change/cancel your meeting, please update your reservation accordingly on the reservation calendar, so that other people may reserve the space.
  • Please be careful when modifying your standing/repeating reservations: if you are only changing one instance of a repeating reservation, please be sure to select “Which instances: Only this date” when modifying/canceling a reservation.
  • Tip: To reserve events repeating every other week, please select “Repeat: Every Fourteenth - Day”

As a reminder, conference rooms are shared spaces! Please:

  • Clean up after your meetings
  • Work with others to try to solve if a scheduling conflict arises
  • Contact Neuro Ops (neuro_ops@hms.harvard.edu) if hand soap or paper towels need to be restocked
